What is one of the most important things you need to run a medical office? Patients and Clients. Without them there would be no reason to have a clinic running. And how do we make sure that we are getting the most out of our day? By getting as many patients in the clinic and seen by the doctor as possible with overcrowding, and the best way to that is by scheduling in your patients with correct time frames for the visit and leaving enough time for the doctor to get a break.

 

When scheduling patients into your paper or electronic scheduler you must always make sure to never double book to many patients into the same time frame. Another thing to remember is to always try to book family member around the same time so it will be more convenient for them, and always make sure you are giving a reasonable amount of time for each patient and the reason for their visit. For example a general check-up would only need approximately  ten to fifteen minute, where as a full physical can take up to a full thirty minute.

 

Being able to schedule in as many patients in a day will benefit your clinic by having a large number of clientele. This means that your doctor will be busy which means he will be making a lot of money. If the doctor makes a lot of money so will you. The busier your office is the more you can count on your job and the better you will feel when you know that you can help more people get the help that they need.


Communication Skills


When you are working in a medical office you can expect it to get quite busy sometimes. That being said, you can imagine how many people you will meet and how many different moods you will have to encounter. For that reason you can come across many communication barriers, that’s why the next step to making sure that you can run a successful medical office will be to insure that you have adequate communication skills so that you can easily help and deal with all your patients and clients with full clarity.

 

There are so many ways you can gain this skill or improve your existing skills. My advice to you is too read as many books as you can that will educate you on ways to properly communicate. I personally found On the GO Sentence to Paragraph Canadian edition by Richard E. Bailey, Linda Denstaedt, and Therese Gormly Hirmer to be a great place to start. This particular book will help you to learn how to properly structure your sentences so that your English is clear and will not be misunderstood. I also recommend watching videos on YouTube that will teach you communication.

 

In the end, when you have truly mastered the skills to proper communication you will be able to interact with everyone you meet in your office with full confidences, as well as the ability to deal with any type of communication barrier.

Microsoft Program Operation


In every medical office setting you will most likely be required to use Microsoft programs that includes using Microsoft Word Processing, Microsoft Excel, and Microsoft PowerPoint. It will be absolutely crucial for you know how to use these programs to insure the success of your clinics function.

 

When you are working in a medical setting you will be asked to perform tasks such preparing written documents like letters, e-mails, memos, and reports. You will also be asked to create presentations, and order and keep track of you medical and office supplies. So in order to complete these task with ease, you should always know how you use these Microsoft programs and well as all the others. Moreover, you should continue to advance with the programs as the technology improves. This will help you to get the best out of each program and help you to finish work quicker and easier.

 

Keeping up with a fast paced environment can get very hectic that’s why technology has offered us so many ways to cut time and speed up the process of whatever it is we are doing. Having good knowledge in all Microsoft programs will ensure that you will get the best out of each program you master.

Typing Skills


There are many aspects to running a successful medical office and one of those aspects include your typing skills. Being able to type up a document that is error free and time consistent is very important when running a busy, fast paced medical office. Imagine if it took you an entire day just type up one document and proofread it as well. Think about how much work you would have got done, plus I don’t think that your boss/the doctor would be too happy about that, especially when so many things need to be done before the end of the day.

 

There are many software program and even some games you can play online to help increase your typing speed and accuracy. My personal favorite is the typing club, however there are many other ones too.

 

When you can type with extreme accuracy and your speed is exceptional you will be flying straight through all those documents and transcriptions without worry. This will ensure the daily success of your medical clinic as all your work will be done quickly and efficiently.



Professional Presentation

Being professional is always important, not only in your work but also in your appearance. This is important because people can very judgmental and when you are working in a medical office you want your clients to think of you as a neat, tidy, and most of all an approachable person. When people come to your clinic you don’t want them to think that this is a place where care is not taking very seriously.
 
It has been said by many employers that first impressions are very important. When a patient or client walks in to your office you are the first person they meet, therefore, you want to make them feel as welcome and comfortable as possible and the first step to this is to make sure that you look professional and inviting. You can do this by dressing in a neat, clean, and appropriate manner. Also by smiling and making eye contact with each person you meet. And by treating everyone very kindly and if necessary sympathetically. By doing this you can be sure that your medical office will always have returning patients.
 
Another reason why it is important for you carry a professional appearance is because when the doctor you work for can see how held together you are, you will open up new chances for yourself to have opportunities to go to important meetings and fill-in for the doctor at events when they cannot be there.
 
Over all having a professional appearance will not only benefit your medical office by attracting and keeping valuable patients, it will also open doors for you in your career, which is always great bonus!

Administrative Procedure

Running a secure and successful medical office is not easy, there are a lot of rules and regulations follow, as well as privacies to consider when working in any medical setting. That’s why the first step to running a successful medical office is to learn and understand the medical administrative procedure.

The administration procedure will teach you things such as knowing how to triage between clients and patients. This means knowing when and who should get in to see the doctor first based on the importance and severity of the patience condition. It will also teach you how to sympathize and cater to the patient’s privacy needs. For example, turning off your computer screen when someone approaches your desk or placing a blank piece of paper over any document that may be on your desk so that no one can see it will insure that privacy needs are being met.

Learning and obtaining these strong and helpful administration skills will help to make your clients and patients feel much more comfortable at your clinic and will offer them a type of security that only you can provide. In-turn your clients will be more likely to return to your clinic when they are in need of medical attention.
